When you are sending messages to the candidates, you might want to pick a time that is more likely for readers to open your emails, for instance, during the late mornings in the middle of the week. You can also make your engagement emails more consistent by setting each message to send on your preferred days at the same time. In Hiretual, we offer you multiple ways to schedule your email campaigns to suit your needs.
Manage the Sequence under the Messages Tab
When you are editing or creating a new sequence under the Messages tab, you can set the default time to send out each email.
For the 1st Touch emails, you can choose to send them immediately or in 5 minutes.
For the Follow-up ones, you can set the interval period between each email. Here you may change both the number and the unit of the time period, and you can set up different time lengths for each follow-up message.
If you pick Weekdays, the interval between the two emails will be counted by the Weekdays (Mon. to Fri.).
Schedule the Sequence When Reaching out to Your Candidates
While the default intervals are embedded in your sequences, you can always customize and reschedule your sequences before you send them to the candidates.
In the pop-up editing window, the default time echoes with the settings of the sequence. If needed, click on Change and choose to another time from the drop-down menu.
You may also click on Pick a date & time to select the Time Zone, Date, and exact Time to send the message.
If you check the box to Send all follow-up emails at xx on their respective dates, the rest of your sequence will be sent at the exact same time on your scheduled days. For example, if you schedule your first email at 12:30 p.m., all your follow-ups will be sent at 12:30 p.m. on your chosen days.
The default interval of your follow-ups also reflects on the original setting of the sequence. You may schedule each email separately by clicking on the Change button on the upper right of the text bar.
Please note that all your sequence emails should be scheduled in the same time zone. If you change the time zone of one of your follow-up emails, the scheduled time for all your previous emails in the sequence will change accordingly.
Modify the Scheduled Time of the Follow-ups after the Sequence Starts
Don’t worry if you change your mind after the sequence has started! Hiretual offers you the flexibility to reschedule your messages that have not been sent in a sequence.
To modify the scheduled time of your messages in a campaign, go to Messages → Outbox, and you will find the status of the unfinished sequence as “Scheduled.” Click on the three dots button on the right to edit it.
*Only Scheduled Emails can be edited. Finished sequences are not able to be Edited or Canceled.
The schedule and sender of the message that has been sent will be marked in gray, but you can edit and reschedule the Follow-ups based on your needs. After you have made the changes, remember to click on Confirm Sequence on the right to save your modifications.
You may also find the scheduled sequence under the Recipients tab and modify the information from there. This could be helpful if you have bulk sent the sequence and need to amend emails scheduled for specific individuals.
